Job Description

Full-time (1.0 FTE), 8 hours per day, 12 months per year

This position has responsibility for all purchasing activities for various school districts under the general supervision of the Central Business Office. The Purchasing Coordinator must exercise careful judgment in his/her work since erroneous decisions may result in the loss of large sums of money. Purchase a wide variety of materials, equipment, supplies and services for various school districts. Direct supervision is exercised over administrative and clerical employees. Does related work as required.

  • Prepares all bid specifications.
  • Solicits and review bids from vendors for a wide variety of commodities.
  • Awards contracts of sale to vendors for the purchase of equipment and supplies as approved by the various Boards of Education
  • Acts as the liaison between various school district departments, vendors and outside agencies regarding purchasing processes.
  • Reviews and processes all departmental requests for purchase orders.
  • Prepares and maintains a vendor listing for use by departments.
  • Confers with principals, supervisors and department heads on the needs of their schools and services.
  • Prepares and maintains a cooperative bid catalog for use by all participating districts.
  • Monitors current price trends, market conditions and new or improved items and sources of supply.
  • Supervises clerical employees assigned to the purchasing office.
  • Monitors Budget account reconciliation for all purchase requisitions processed.
  • Supervises and directs the Central Business Office Staff of various departments
  • Develops, maintains, and administers policies and procedures for various Central Business Office functions.
  • Advises districts’ management of their overall financial status and projects year-end fund balance
  • Coordinates and attends monthly financial meetings with all districts as requested.
  • Attends Board of Education meetings of the CBO Districts as requested.
  • Performs other related duties and attends various meetings as requested by participating districts.
  • Perform business administrator duties as requested by participating districts.

Civil Service Title
SCHOOL BUSINESS EXECUTIVE
Job Qualifications
  • New York State certification as a School District Business Leader OR
  • Competitive Civil Service, Business Executive position and meets the minimum qualifications; OR
  • Competitive Civil Service, Purchasing Manager position and meets the minimum qualifications

The selected candidate must possess this title or be among the top three of a current, binding Civil Service list for the title or if no binding Civil Service list, be in the top three after taking the required Civil Service exam for the title.

MINIMUM QUALIFICATIONS: Either:

  • Graduation from a regionally accredited or New York State registered college or university with a Master’s Degree in Accounting or Business Administration and one (1) year of responsible work experience in public administration, accounting, auditing or a related field, which must have involved administrative, managerial or supervisory responsibilities for directing the activities of a subordinate staff; OR
  • Graduation from a regionally accredited or New York State registered college or university with a Bachelor’s Degree in Accounting or Business Administration and three (3) years of responsible work experience in public administration, accounting, auditing or a related field, which must have involved administrative, managerial or supervisory responsibilities for directing the activities of a subordinate staff; OR
  • Graduation from a regionally accredited or New York State registered college or university with a Master’s Degree in Accounting or Business Administration and five (5) years of responsible work experience in public administration, accounting, auditing or a related field, which must have involved administrative, managerial or supervisory responsibilities for directing the activities of a subordinate staff; OR
  • Graduation from a regionally accredited or New York State registered college or university with a Bachelor’s Degree in Accounting, Business or Public Administration or a related field and two (2) years of in-direct management experience in a public or private agency; OR
  • Graduation from a regionally accredited or New York State registered college or university with an Associate’s Degree in Accounting, Business or Public Administration or a related field and four (4) years of in-direct management experience in a public or private agency.

 

 

Salary: Commensurate with experience plus, comprehensive benefits package.
